We connect document management in your system to Box folders and their governance policies.
Organisations that chose Box usually did so for control — who can share what, how long records are kept and what gets audited. Connecting the business system to Box means documents created in day-to-day work land under those same controls, rather than in a separate store that compliance teams cannot see.
What we build with it
- Storing documents under enterprise retention policy
- Controlled external sharing
- Compliance-oriented document handling
How it works
- We agree the folder structure in Box with your administrator in advance.
- When a document is created or uploaded in the system, it is saved into the correct Box folder with metadata such as customer or document type.
- Box applies your retention and sharing policies to the file as it does to any other.
- The system stores the Box file ID and opens documents through Box, respecting each user's permissions.
Data exchanged
- Files and metadata
- Folder structure
- Access permissions
What is needed to set it up
- A Box account with API access
- OAuth authorisation, or a server application approved by your Box administrator
- Folder structure agreed in advance
Good to know
- Server-side Box applications typically need approval from your Box administrator before they can run.
- API access and some governance features depend on your Box plan.
- Box keeps its own activity log, so your compliance team can see file access alongside the business system's audit trail.
