We connect your system's outbound email to your Gmail or Google Workspace account, so documents and notifications are sent from an address your customers already know.

When an invoice arrives from your own business address rather than a generic system address, customers trust it more and their replies land in your inbox. Sent copies also stay in your mailbox, so your team can see what went out without opening the business system.

How it works

  1. A user clicks send on a document, or a scheduled job produces a report.
  2. The system generates the PDF and builds the email from a template with the right recipient, subject and message.
  3. It sends the email through Google, authorised by your account.
  4. The message appears in your Sent folder, and the system logs the send against the record.

What is needed to set it up

  • A Google Workspace or Gmail account
  • OAuth authorisation, or SMTP credentials with an app password

Good to know

  • Google sets daily sending limits per account. Gmail suits business correspondence, not large mailing campaigns.
  • App passwords only work when two-step verification is switched on for the account. OAuth authorisation avoids storing a password at all.
  • If your domain uses Google Workspace, SPF and DKIM records on the domain help your mail reach inboxes rather than spam folders.
