For many businesses in India, WhatsApp is where customers actually read messages. Email goes unopened and phone calls get missed, but a WhatsApp message with the invoice attached is usually seen the same day. Connecting it to your software means the message goes out at the right moment, carries the right figures, and leaves a record of what was sent and when.

How it works
- An event happens in your system — an invoice is saved, a payment falls due or an order is dispatched.
- The system picks the matching approved message template and fills in the customer's name, amount, date and document link.
- It sends the message through the WhatsApp Business Platform using your business number.
- WhatsApp reports back whether the message was sent, delivered and read, and the system stores that status against the record.
- If the customer replies, the reply can be shown to your team so the conversation continues from the same number.

What is needed to set it up
- A WhatsApp Business account with Cloud API access
- A verified business phone number that is not in use on the regular WhatsApp app
- Message templates approved by Meta before use
- Configuration entered in the admin settings, not hard-coded
Good to know
- Messages your business starts must use a template that Meta has approved. Free-form replies are allowed only within a limited window after the customer last wrote to you.
- Meta charges for business-initiated conversations. These charges are billed to your own WhatsApp Business account; rates are set by Meta and vary by message category.
- Customers should have agreed to receive messages from you. Sending unwanted messages can lead to your number being restricted.
- New numbers start with a daily messaging limit that rises as your number builds a good track record.
