SMTP is the plain, widely supported way to send email. It suits businesses that already have a mail provider they are happy with, or that send enough automated mail — password resets, notifications, invoices — to justify a dedicated sending service.

How it works
- An event in the system produces an email — a document is shared or a user requests a password reset.
- The email is placed in an outbound queue rather than sent on the spot, so a slow mail server never holds up the user.
- A background process connects to your SMTP server over an encrypted connection and hands over the message.
- If sending fails, the message is retried, and persistent failures are logged for someone to look at.

What is needed to set it up
- SMTP host, port and credentials
- SPF, DKIM and DMARC records configured on your domain for deliverability
Good to know
- Without SPF, DKIM and DMARC records, large mailbox providers are likely to send your mail to spam or reject it.
- Transactional email services charge by volume, with rates set by the provider. Shared hosting mail servers often have low hourly limits.
- Credentials are stored server-side and never exposed to the browser or mobile app.
