We connect your system's outbound email to Outlook and Microsoft 365, so documents go out from your own business mailbox.

If your team already works in Outlook, sending from the same mailbox keeps every customer conversation in one place. Replies come back to your inbox, sent items are kept, and customers see an address they recognise.

What we build with it

  • Emailing invoices and documents
  • Enquiry and client correspondence
  • Scheduled report delivery

How it works

  1. A user sends a document from the system, or a scheduled report is ready.
  2. The system prepares the email and attachment from a template.
  3. It sends the message through Microsoft 365 using the permission your administrator granted.
  4. The email appears in the mailbox's Sent Items, and the send is logged against the record.

Data exchanged

  • Recipient address
  • Subject and body
  • Attachments

What is needed to set it up

  • A Microsoft 365 account
  • OAuth authorisation via Microsoft Entra ID, or SMTP credentials where your tenant still allows them

Good to know

  • Microsoft has been retiring basic password authentication for its mail services, so OAuth is the more durable way to connect.
  • Microsoft 365 applies sending limits per mailbox. It is meant for business correspondence rather than mass mailing.
  • Your administrator can limit the system's access to specific mailboxes rather than the whole organisation.
