People check their calendar far more often than they open a business application. When appointments, deadlines and meetings appear there automatically — and move when the record moves — fewer commitments are missed and nobody has to copy dates by hand.

How it works

  1. A user books an appointment or sets a deadline in the system.
  2. The system creates a matching event on the chosen Google Calendar, with title, time, location and participants.
  3. Google sends invitations and reminders to participants as it normally would.
  4. When the record is rescheduled or cancelled, the system updates or removes the calendar event.

What is needed to set it up

  • A Google account with calendar access
  • OAuth consent granted by each user, or a Workspace-level connection
  • Choice of which calendar receives events

Good to know

  • One-way sync from the system to the calendar is the simplest and most reliable. Two-way sync is possible but needs clear rules on which side wins when both change.
  • Time zones are stored with each event, which matters when participants are in different places.
  • Event descriptions are visible to anyone who can see the calendar, so we keep sensitive details in the system and link to them instead.
