For teams that run their day from Outlook, a deadline that lives only inside the business system is easy to miss. Putting appointments, hearings and reminders on their Outlook calendar — and keeping them updated when plans change — keeps everyone working from the same schedule.

How it works

  1. A user schedules an appointment or sets a deadline in the system.
  2. The system creates the event on the chosen Outlook calendar through Microsoft Graph, with attendees and a reminder.
  3. Outlook sends invitations and reminders as usual.
  4. Rescheduling or cancelling in the system updates or removes the Outlook event.

What is needed to set it up

  • A Microsoft 365 account
  • OAuth authorisation via Entra ID
  • Target calendar selection

Good to know

  • Your Microsoft 365 administrator may need to approve the application before users can connect their calendars.
  • One-way sync keeps the system as the source of truth. Two-way sync is possible but needs agreed rules for conflicting changes.
  • Details placed in an event are visible to anyone with access to that calendar, so we keep sensitive information in the system.
